How should I address packages and mail to campus?

How do I know if I have received a package or letter mail?

You will receive an email or text notification from us once your package has been logged into our package tracking software and is ready for pick-up. If your carrier notifies you of delivery before you hear from us, please be patient, we will contact you shortly.

I received a delivery confirmation from the carrier but I have not received a delivery notification from the university. What should I do?

Please allow us time to receive and process your package into our tracking system. You will receive a notification from WSUMAILROOM shortly after we log your package. Please be patient, as we handle a large volume of packages for all campus students, and processing may take 1-2 hours depending on the quantity received. Some carriers mark packages as "delivered" before they actually arrive at the university. If you have not received a notification from the Mailroom after several hours, contact mailroom@westfield.ma.edu  and provide the following information: Your name, Which carrier is delivering the package (USPS, UPS, FEDEX etc.), Tracking number, and status of package delivery. Expect a response within 24 hours.

I was notified that my package has been delivered, but I haven't received any notification from the mailroom and it's been more than a couple days?

Sometimes packages arrive with incomplete information, which may prevent you from receiving a notification. This can happen if the package is missing your first or last name, or you’re using a nickname. Often, parents send you a package addressed to themselves instead of you. When this occurs, we log the package as a "Mystery" package and place it in a designated area until claimed. These packages will be held for 14 business days before we either return them to the sender, if possible, or discard or donate them. Contact mailroom@westfield.ma.edu  and provide the following information: Your name, carrier delivering the package (USPS, UPS, FEDEX etc.), Tracking number, and status of package delivery. Expect a response within 24 hours.

Can I receive packages after hours or on the weekends?

We are closed on weekends and holidays. All deliveries will be received and processed on the next business day. To better serve you, we are in the process of installing Amazon lockers, enabling you to pick up packages after hours and on weekends. Please see hours below.

Does Mail Services sell stamps and envelopes?

We process postage using our Pitney Bowes postage machine and we chargeback on your OWL BUCKS card account. We also have envelopes and recycled boxes.

Can I return my package from the mailroom?

Yes. You must have a prepaid label and/or stamp attached and packages can be dropped off at the mailroom. Alternatively, we can ship and/or mail letters and packages using your OWL BUCKS account.  

My package was mailed to the University but I no longer live on campus, what do I do?

You can either pick it up yourself or have a friend pick it up on your behalf. If neither option is feasible, we will attempt to forward it or return it to the sender.

What mail is forwarded for free?

USPS is the only carrier that does free forwarding: First-Class mail and periodicals (newsletters and magazines), Priority Mail Express, Priority Mail, and USPS Ground Advantage.

Can someone else pick up my package or letter mail on my behalf?

Yes, simply send an email to mailroom@westfield.ma.edu  and let us know who will be picking up your mail. Do not give them your ID.

I’m not receiving any notifications of packages/mail?

If you’re not receiving email notifications, please check your junk folder first. If the emails aren’t there, we may need to update your email address. If you’re not receiving text messages, we might have an incorrect phone number. To receive text messages, please provide your cell phone information. Otherwise, you will receive notifications via email only. Text messages are optional.

What do I need to bring when picking up a package?

Please bring your Campus card when retrieving packages from the mailroom. Our package tracking system uses your Campus card swipe to identify you and alert us to the number of packages and letters you have. If you don't have your Campus card, you'll need to provide another form of identification to pick up your package. Do not give your Campus card to a friend to pick up your package. If you’re unable to pick it up yourself, please email us at mailroom@westfield.ma.edu  and provide the name of the person who will collect it on your behalf.

What happens if I don’t retrieve my mail?

If a student does NOT claim their mail after 14 business days of receiving the first email notification, the mail will be returned to the sender.

What happens to my mail at the end of the academic year?

At the end of the Spring semester, all letter mail and USPS packages will be forwarded to the address we have on record. Packages from other carriers (UPS, FEDEX, and AMAZON) will be RETURNED TO SENDER.

Packages and letter mail received during summer recess will be handled as follows:

USPS: FORWARDED to address on record.

UPS, FEDEX, and AMAZON: Logged in and kept for five business days allowing you sufficient time to contact us to discuss how to handle your package. Be prepared to pay using OWL BUCKS to have us ship it to you, or you can pick it up or have a friend pick it up on your behalf.  

If you are living on campus during the summer, package pickup will remain the same, but office hours will be change to summer hours. Please see hours below.
